c. Photography and Video Recordings

At the fairs and events of Reed Exhibitions Austria, photos and videos are regularly taken which, among other things, document the fair and therefore also show visitors of the relevant fair or event. It cannot be ruled out that you (or other people from your company) can be seen on individual photos and videos. Insofar as you are identifiable on the respective photo or video, the photo or video and further use of the respective photo or video regularly constitutes a processing of personal data within the meaning of Art.4 (1) GDPR. The storage and processing of this data is solely for internal archiving purposes, for the purpose of documentation and to enable reporting on the relevant fair or event by media companies or Reed Exhibitions Austria on its websites and on the social media pages of the respective fair.

5. Legal Basis of Data Processing

a. Processing of Fair Participation, Provision of Services

b. Advertising and Marketing, Newsletter

The legal basis for the use of the data you have provided for the advertising and marketing measures described, including the sending of personalised newsletters, is based on the legitimate interest of Reed Exhibitions Austria to promote the sale of its services, including the promotion of services and products of third-party providers who support or supplement the own range of services (Art. 6 (1) (f) GDPR). Passing on your contact details to partner companies of Reed Exhibitions Austria is permitted, in view of your own interest to obtain offers from companies with a relevant range of services and experience in the field of fairs with regard to possibilities for optimising your fair presence (Art. 6 (1) (f) GDPR).

c. Photography and Video Recordings

The legal basis for storage and processing of personal data arising from taking photographs and making videos comes from our legitimate interest in taking such photos or making such videos and their proper use for the purpose of reporting as well as for archiving for historic documentation (Art. 6 (1) (f) GDPR).

d. Processing of Personal Data of Disclosed Third Party Contact Persons

The processing of data of third natural persons, which are disclosed in the fair registration or in the course of the execution of the exhibitor contract, in particular as a representative, responsible or other employees of your company, is permitted due to the legitimate interest of Reed Exhibitions Austria and yourself in order to address directly the specifically responsible and informed person in your company in the course of processing the exhibitor contract concluded with your company or in case of queries, in order to avoid information or legal losses as well as to be able to clearly direct information and advertising to a unique recipient (Art. 6 (1) (f) GDPR).

6. Necessity of Data Provisioning

If you do not or not entirely provide the data requested in the registration, the conclusion of an exhibitor contract is not possible. The provisioning of further data is only required insofar as you would like to order stand construction, advertising or marketing services or wish to take out a fair insurance.

7. Recipient

All data provided by you will be disclosed to all companies jointly responsible for processing (see point 1).

The information about your company, which was disclosed at the time of your registration, will be published in both printed and online list of exhibitors (exhibitor catalogue).

For receiving advertising and informational newsletters via email as well as the collection of data concerning your use of these newsletters, Reed Exhibitions Austria uses Salesforce.com, inc., The Landmark @ One Market St., Suite 300, San Francisco, California 94105, USA as a processor. Since Salesforce.com, inc. is based in the USA, there is thus a transfer of the collected data to a third country within the meaning of the GDPR.

The Salesforce.com, inc. is registered in the US Department of Commerce's US Privacy Shield List. The transfer of data to the US to Salesforce.com, inc. is therefore permissible under Commission Implementing Decision (EU) 2016/1250 of 12 July 2016 on the adequacy of the protection provided by the EU-US Privacy Shield ('adequacy decision' within the meaning of Article 45 of the GDPR).

8. Storage Period

The storage of the data processed by Reed Exhibitions Austria for the described purposes of advertising and marketing will continue until you object to further data processing for these purposes. The data processed in connection with the newsletter will be saved until you unsubscribe from the email newsletter. Photos and videos and thus - insofar as you are identifiable on these - your personal data is stored for documentation and archiving purposes for an indefinite period. Otherwise your data will be stored for as long as necessary for each processing purpose. In addition, data storage takes place insofar and as long as it is necessary to retain your processed data in order to safeguard legal interests (e.g. until the expiry of contractually agreed or statutory warranty or statute of limitations) or with regard to statutory retention requirements, in particular pursuant to Article 132 BAO (Austrian Federal Fiscal Code). Insofar as further processing is carried out for statistical purposes, the relevant data will only be used anonymously.

You also have the right to demand the restriction of data processing under Art.18 GDPR if necessary or to file an objection against the data processing according to Art.21 GDPR. Furthermore, pursuant to Art.20 GDPR, you are entitled to demand that all data that you have provided yourself and that we process in an automated way are provided to you on a data medium in a common file format or are transmitted to a third party named by you (right of data portability).

If you have any questions, comments, complaints or requests concerning this Privacy Policy or our processing of your information, please contact us through our Privacy Centre webform.

4. Processed Data, Processing Purposes and Legal Basis

a. Usage of the Online-Ticket Shop

When using the online ticket shop, the data which you disclose when ordering an entrance ticket to the fair, will be recorded and processed. This data will be stored and processed in order to create the ticket for the desired trade fair and to give you access to the fair, as well as to charge you for the ticket price and to process the payment of the ticket price. The legal basis for this is based on the necessity of this data processing for the purpose of fulfilling the contract concluded with you for the acquisition of a visitor ticket for the entrance to the fair (Art 6 (1) (b) GDPR).

b. Advertising, Newsletter, Surveys

The data you provide when using the online ticket shop and vouchers for tickets (see below, clause g.) will also be used to conduct surveys in order to receive feedback on the events and services of the companies of Reed Exhibitions Austria to optimise their own offer. In addition, your data will be processed for direct advertising for events and offers of the companies of Reed Exhibitions Austria as well as for information about products and services of their contractual partners, especially fair exhibitors. Direct advertising takes place primarily by sending advertising and informational newsletters by email ("email newsletter"). In doing so, Reed Exhibitions Austria records whether the relevant email newsletter is properly delivered to your inbox server, whether you open the email newsletter you received, and if and what content of the email newsletter you click on. The collection and processing of this data is used to create statistical evaluations, which should allow a representative picture of the reading habits of the newsletter, so that the content of future newsletters can be adapted to the target audience or different content can be sent according to the interests of each user. Finally, to ensure that you only receive a newsletter, if you really want it, Reed Exhibitions Austria also records whether you would like to receive email newsletters or whether you have unsubscribed from the newsletter.

The legal basis of this use of the data you have disclosed is based on the legitimate interest of Reed Exhibitions Austria to specifically promote the sale of its events and other services, including - by means of user tracking on email newsletters - personalised advertising and, if necessary, to provide you with information on the services and products of its contractual partners (in particular, fair exhibitors) in order to present the range and content of the fairs, events and other services offered by Reed Exhibitions Austria (Art. 6 (1) (f) GDPR).

c. Reed2Meet

To use the service "Reed2Meet", exhibitors who have you as a customer or prospective customer provide your name and email address, which Reed Exhibitions Austria links with an automatically generated coupon code ("TAN"). This TAN is transmitted to you by the respective exhibitor via the service provided by Reed Exhibitions Austria for the registration for the fair and the purchase of a visitor ticket via the online ticket shop. Reed Exhibitions Austria record whether you receive the TAN and if and when you have registered for the relevant fair and have purchased a visitor ticket. The linking of the data provided by the exhibitor with the automatically generated TAN and the processing of this linked data is done in order to enable you to purchase a free ticket via the online ticket shop and to give feedback to the exhibitor whether you have received and redeemed the TAN. The legal basis for this data processing is based on the legitimate interest of the exhibitor to enable you as a customer or prospective customer for his products or services for marketing purposes to visit his stand free of charge as well as a simple invitation management (Art 6 (1) (f) GDPR).

d. Reed2Lead

To use the "Reed2Lead" service, Reed Exhibitions Austria generates and stores a DataMatrix code, which is displayed on your visitor ticket. The DataMatrix code contains a numeric code associated with the name and contact details you provided when ordering a visitor ticket through the online store. If you allow an exhibitor to read out the DataMatrix code in question, the data associated with the DataMatrix code will be transmitted to him. Linking your data to a DataMatrix code and processing that linked data will enable you to easily provide your data to exhibitors using the Reed2Lead service via a "digital business card", if you so choose. The legal basis for this processing is based on your legitimate interest in the possibility of simply passing on contact data to business and trade fair contacts and the legitimate interest of the exhibitors concerned to easily manage and further process the data provided by you using the DataMatrix code (Art 6 (1) (f) GDPR).

e. Ticket Validation/Fair Visit

Reed Exhibitions Austria record whether tickets issued are validated on-site in fair halls, e.g. whether the recipient of a visitor ticket purchased via the online ticket shop has actually visited the relevant fair. The purpose of recording and processing this data is to prevent unauthorised passing-on and misuse of visitor tickets purchased via the online ticket shop or TAN registration. In connection with the Reed2Meet service, the information whether after a visitor registration a fair visit has taken place, also serves the purpose of charging the tickets for invited visitors to the inviting exhibitor. The legal basis for this data processing is based on the legitimate interest of Reed Exhibitions Austria within the meaning of Art. 6 (1) (f) GDPR to ensure that no person gains improper access to their events, without a legally purchased visitor ticket, and in connection with the service Reed2Meet, that exhibitors who invite their customers to attend a fair free of charge, can be invoiced for the issued tickets accordingly.

f. Photography and Video Recordings

At the fairs and events of Reed Exhibitions Austria, photos and videos are regularly taken or made which, among other things, document the fair and therefore also show visitors of the relevant fair or event. It cannot be ruled out that you (or other people from your company) can be seen on individual photos and videos. Insofar as you are identifiable on the respective photo or video, the photo and video and further use of the respective photo and video regularly constitutes a processing of personal data within the meaning of Art.4 (1) GDPR. The storage and processing of this data is solely for internal archiving purposes, for the purpose of documentation and to enable reporting on the relevant fair or event by media companies or Reed Exhibitions Austria on its websites and on the social media pages of the respective fair. The legal basis for this is our legitimate interest in the production of press photos and their proper use (Art. 6 (1) (f) GDPR).

g. Vouchers

At some fairs, exhibitors may provide vouchers for a free fair entrance. If you redeem a voucher, the data you indicate on the voucher will be recorded and processed to provide you with a ticket for the fair event and enable you to access the fair free of charge. Furthermore, your data will be disclosed to the exhibitor mentioned on the voucher for the purpose of settlement and personalised advertising by this exhibitor. The legal basis for this data processing is based on the necessity of this data processing for the purpose of fulfilling the contract regarding the issuing of a visitor ticket for the entrance to the fair event which is based on the redemption of the voucher (Art 6 (1) (b) GDPR) and on the legitimate interest of the exhibitor to enable you as a customer or prospective customer for his products or services for marketing purposes to visit his stand free of charge and to specifically promote the sale of his products and services including by personalised advertising (Art 6 (1) (f) GDPR).

5. Revocation of Consent to Data Processing

Insofar as the legal basis for the data processing by Reed Exhibitions Austria exists in your respective consent, you can revoke this consent at any time informally by sending a letter or by an email to [email protected]. Your revocation causes the inadmissibility of the further processing of your data for the processing purposes covered by this agreement. The legality of your data processing based on your consent until the revocation is not affected in any case.

6. Necessity for Data Provisioning

In the online forms to be completed in the online ticket shop and on vouchers, some input fields are displayed as "mandatory fields". It is necessary to announce the data requested via these mandatory fields in order to receive an admission ticket (a "visitor ticket") for the fair you have chosen. Otherwise there is no obligation to disclose your data.

7. Recipient

All data provided by you will be disclosed to all companies jointly responsible for processing (see point 1).

If you choose the payment method "SOFORT Überweisung" when paying for your visitor ticket, the details of the product selected by you (visitor ticket) will be forwarded to the payment service provider Sofort GmbH, Theresienhöhe 12, 80339 München (DE) for processing the payment.

If you decide on the payment method "credit card" when paying for your visitor ticket, the credit card details given by you will be passed on to the respective payment service provider for processing the payment (currently VIVEUM Zahlungssysteme GmbH, Riemergasse 14/30, 1010 Vienna).

If you register as a fair visitor with a TAN that you received from an exhibitor who uses the service Reed2Meet, the information about the time of your ticket purchase via TAN and the data you specify in the online ticket shop will be disclosed to the relevant exhibitor for his own use.

The data associated with the DataMatrix code displayed on your visitor ticket will be disclosed to those exhibitors who use the Reed2Lead service and who allow you to read out the DataMatrix code.

If you redeem a voucher provided to you by an exhibitor at Reed Exhibitions Austria, the data you indicate on the voucher will be disclosed to the exhibitor stated on the voucher for the purpose of settlement and for his own further use.

For the purpose of documentation and reporting on the relevant fair, photos and videos and thus – insofar as you are identifiable on these - your personal data will be forwarded to various media (e.g. newspapers, TV, online media, etc.) for appropriate use and will be provided by Reed Exhibitions Austria and accessed on its websites and its social media pages of the respective fair or event.

The storage of the data that Reed Exhibitions Austria processes for advertising purposes will continue until you object to further data processing in this regard.

9. Rights of Persons Affected

You have the right of access to the processing of personal data pursuant to Art.15 GDPR and the right to rectification pursuant to Art.16 GDPR towards the companies jointly responsible for processing (see section 1). In addition, you may request the deletion of your data, provided that there is a reason for deletion referred to in Art. 17 (1) (a) to (f) GDPR and there is no justification under Art.17 (3) GDPR for the refusal of the deletion.

If you believe that the processing of your personal data by us violates applicable data protection law, you are entitled to file a complaint with the Data Protection Authority.
